Guide for Performing a Mid-Term Adjustment (MTA) for Change of Vehicle

Step 1: Choose the insurance policy line that requires the change of vehicle.

Step 2: Access the policy section (P86).

Step 3: Press "Enter."

Step 4: Press "Enter."

Step 5: Press "Enter."

Step 6: Input the desired effective date for the address change and press "Enter."

Step 7: Confirm by pressing "Enter" on "Permanent MTA."

Step 8: Use the down arrow key once or press "A," followed by pressing "Enter."

Step 9: Press "Enter."

Step 10: Enter "4" and then press "Enter."

Step 11: Opt for "S" to signify "Substitution" and press "Enter."

Step 12: Enter the vehicle's registration number (Phonetically confirm this with the policyholder) and press "Enter."

Step 13: Verify the complete model description and press "Enter."

Step 14: Input the vehicle's year of manufacture by entering the last two digits of the year and press "Enter."

Step 15: Enter the present market value of the vehicle, excluding VAT, and press "Enter."

Step 16: Indicate the date the vehicle was purchased, and press "Enter."

Step 17: If the vehicle is leased, input the total amount the policyholder will pay. Otherwise, enter the actual price paid.

Step 18: Confirm the vehicle's Body Type. If it differs from the displayed option, amend it using the capital letter corresponding to the correct type and press "Enter."

Step 19: Specify the number of seats in the vehicle and press "Enter."

Step 20: Choose "Y" or "N" for Left Hand Drive and then press "Enter." (Note: Most vehicles are standard Right-Hand Drive.)

Step 21: Select "Y" or "N" for ABS Fitted and press "Enter." (Most new vehicle models come equipped with ABS.)

Step 22: Inquire with the policyholder about any vehicle modifications. If yes, follow the referral guide or refer to the insurer for approval. If no modifications, enter "N" and press "Enter."

Step 23: Confirm the overnight parking location (Garage, Road, or Driveway) and check if it's in the same postcode. Select the appropriate option and press "Enter" until you reach the Registered Keeper question.

Step 24: Answer "Y" or "N" to the Registered Keeper question and press "Enter." (Policyholders must be the registered keeper and owner of the vehicle, except in cases of Spouse, Leased Company, or Company ownership.)

Step 25: Inquire if the policyholder has access to other vehicles and input the answer using the provided capital letters (e.g., O for Owner of another vehicle, N for Named driver on another vehicle). Press "Enter."

Step 26: Input the number of other vehicles in the household and press "Enter."

Step 27: Confirm if the policyholder's vehicle has an alarm. Use "FACT" for factory-fitted alarms, "NONE" for no alarm, or refer to available options with "?" and then press "Enter."

Step 28: Confirm if the policyholder's vehicle has an immobilizer. Most often, it's "Thatcham 1" or "Thatcham 2." If not, enter "NONE" or refer to available options with "?" and press "Enter."

Step 29: Confirm if the policyholder's vehicle has a tracker. Input the tracker name, refer to available options with "?," or enter "NONE" if there is no tracker.

Step 30: Press "End" and input "10" followed by "Enter."

Step 31: Verify the annual mileage and amend if necessary. Press "Enter."

Step 32: Confirm if the vehicle is diesel or petrol by entering "D" or "P."

Step 33: Confirm if the vehicle is fitted with racking or shelving and amend as required. Press "Enter."

Step 34: Confirm if the vehicle carries any signwriting and amend accordingly. Press "Enter" until you reach the next page, then press "End," input "11," and press "Enter" to run the quote.

Step 35: Confirm the quoted price with the policyholder and inquire if they wish to proceed. Depending on their payment method:

If they have paid in full, collect the payment via card.

If they are paying in instalments, offer the options of paying in full by card or splitting the total amount over direct debits.

If they are paying via direct debits, check the CPF portal to ensure there are enough instalments available for splitting. A minimum of 3 payments is required to split over direct debits. If the additional premium exceeds £300.00, collect a 20% deposit by card, with the rest to be split over direct debits.

Step 36: Once you've determined the payment method, press "Enter" and "W" for write away.

Step 37: Respond with "N" for No to the special endorsements question and press "Enter."

Step 38: Press "Enter" until you reach the broker administration fee section. For an additional premium, the fee should consistently be £40.00. In the case of a return premium, adjust the fee to include 10% of the insurer's premium, as calculated by your MTA calculator.

Step 39: If you are satisfied with the amounts (Total Selling Price), press "Enter" until the next page.

Step 40: Continue pressing "Enter" until you reach the "Payment Received" section.

If the policyholder is splitting the total amount over direct debits, enter "0" and press "Enter." If prompted to split, respond "Y" for yes.

If the policyholder is paying in full, press "Enter" three times and then collect the card details.

Step 41: You will be directed to the notes section via P37, with a prepopulated MTA.doc.

Document the following information:

Time of the call

Whether the policyholder initiated the call or was contacted

Details of the requested change

Cost breakdown (AP, FEE, TAP, RP, FEE, TRP/TAP)

Handling of funds (e.g., PH paid by card or split over DDs).

Step 42: After entering beyond line 7, CDL will prompt you to confirm whether it's okay to write this record. Respond with "Y" for Yes and press "Enter."

Step 43: Continue by entering on Multiple Printers and pressing "Enter" until you reach prompts for specifying the changes made. If multiple changes were performed, input the combination numbers without spaces or commas. Continue until you are asked, "Are you completing the audit alongside this MTA?" Answer "Y" for Yes only when auditing the policy for validation documents. Otherwise, respond "N" for No and press "Enter”.
